How To Restrict Post Access With Your Team?

Restrict who can see a post in Statusbrew by sharing it only with chosen users or user groups, in Compose with Share access with or later from the post's Shared with setting.

What Is Post Access?

By default, a post you create is shared with all team members in your space. Use Share access with to limit it to specific users or user groups, so only the right people can view or work on it.

Default: every new post is shared with All team members.
Restricted: only the users and user groups you pick, plus you, can see the post.
Post Groups: access is set once for the whole Group, so every post in it is shared with the same people.

Who Can Do This?

Setting access: you choose who a post is shared with while you create it in Compose.
Changing access later: only the post's creator can change Shared with after the post is saved.
Plans: Share access with is available on the Enterprise plan. If you don't see it in Compose, your plan doesn't include post-level access.

Restrict Access In Compose

Go to Publish and click Create post. Add your profiles and content.

In the bottom bar, click the globe icon (Share access with). If the bar is narrow, click More options (three dots) in the bottom bar and select Share access with.
In the Share access with dialog, select the users or user groups you want. Use Search to find someone, or pick from Frequently used.
Click Update.
Finish the post and click the main button in the bottom bar, for example Schedule or Post now.

The globe icon then shows a blue badge with the number of users and user groups the post is shared with. Hover over it to see who has access.

To share with everyone again, click All team members at the bottom left of the Share access with dialog.

Change Who A Post Is Shared With

Go to Publish and click the post.
If it's a post on its own, its Post Detail view opens. If it's in a Post Group, the Group sidebar opens.
Click Shared with to open the Share access with dialog.
Change the users or user groups and click Update.

For a Post Group, you can also click Edit group in the Group sidebar and use Share access with in Compose.

Post Access In A Post Group

Visibility is shared across a Post Group, just like tags and custom fields.

One setting for the Group: the Group sidebar shows Shared with, for example "All team members", for every post in it.
Changing it on one post: the change updates every post in the Group. The post's Post Detail view notes that tags, visibility and custom fields are shared with the group.
Stays in the Group: changing access doesn't take a post out of its Group.

See Posts Shared With You

Go to Publish.
Select Shared With Me in the Publish sidebar. If you don't see it, click More (three dots) in the sidebar to find it, and click the pin icon next to it to keep it in the sidebar.

This view lists the posts your team shared with you and the posts you created.

Who Can See My Post If I Don't Change Anything?

Everyone on your team. New posts are shared with All team members until you pick specific users or user groups in Share access with.

Why Can't I Change Who A Post Is Shared With?

Only the post's creator can change Shared with. Ask the person who created the post to update it.

First check More options (three dots) in the Compose bottom bar, where the option moves when the bar is narrow. If it isn't there either, your plan doesn't include post-level access. Share access with is available on the Enterprise plan.

If I Restrict Access On One Post In A Group, Does It Change The Others?

Yes. Visibility is shared across the Post Group, so every post in it gets the same Shared with setting. The post stays in its Group.

Where Did Shared With Me Go In My Sidebar?

It's under More (three dots) in the Publish sidebar. Click the pin icon next to Shared With Me to keep it in the sidebar.

Yes. The Share access with dialog lists user groups as well as users. Everyone in the group gets access.

A Teammate Says They Can't See A Post. What Should I Check?
