How to Suggest Edits to a Post Awaiting Approval
When a post is sent for approval, the approver can suggest changes to its caption instead of rejecting it. The post creator can see the approver's exact wording and accept it with one click.
What Are Post Suggestions?
A post suggestion is a proposed new caption for a post. The original caption stays as it is until someone accepts the suggestion.
Approvers use suggestions when a post is almost ready but needs a typo fixed, a line reworded or a mention added. This skips the reject-and-resubmit loop, and the creator gets the exact text the approver wants.
Who Can Suggest And Review Edits?
Suggest edits: Anyone who is an approver on the post, whether they were picked with Select users or are part of the Approval Workflow. This includes external approvers.
Accept, decline, or delete a suggestion: the post creator, post approvers, Admins, and Owners. The creator sees Decline, and everyone else sees Delete.
Team members who can see the post but aren't approvers can view suggestions, but they can't make them.
Post suggestions are available on all plans. Approvers can suggest and review edits only in the web app. The mobile app shows only Approve and Reject.
Which Posts Support Suggestions?
Approvers can suggest edits on posts that are waiting for approval. Suggestions: Change the caption only. Media, schedule time, and selected profiles stay the same.
Suggestions are not available for:
Stories: Use a comment instead.
X threads with more than one post: X threads with a single post do support suggestions.
How Does An Approver Suggest An Edit?
Go to Planner → Needs Approval and click the post. The Post Detail opens.
Click Suggest edits in the "This post is awaiting approval" banner, next to Approve.
The current caption is copied into the dialog. Make the changes. Emojis and @mentions work here, and the character counter updates while typing.
Click Suggest.
The approver sees "Suggestion added successfully."
Approvers should write the exact text they want in the caption, not an instruction. "Our new jacket is fully waterproof" works. "Mention that it's waterproof" doesn't, because accepting a suggestion pastes the text straight into the caption.
An approver can add more than one suggestion to the same post. Each one appears separately.
How Do I Review A Suggestion?
Open the post from Planner → Needs Approval.
Suggestions appear in the Suggestions section of the Post Detail, with a count of how many are waiting. Each one shows which approver suggested it, when, and the suggested caption.
Click Show difference to compare it with the current caption. Removed text appears in red with a strikethrough. Added text appears in green.
Click Accept to use the suggestion, or Decline / Delete to remove it.
What Happens When A Suggestion Is Accepted?
The caption is replaced with the suggested text right away, and the post is approved. It publishes at its scheduled time.
Accepting a suggestion also approves the post. Review the suggested caption with Show difference before clicking Accept.
Other suggestions on the post remain visible, but since the post is already approved, they can't be applied.
What Happens When A Suggestion Is Declined Or Deleted?
The suggestion is removed from the Suggestions section, and the caption stays the same. A declined or deleted suggestion can't be restored, but it still shows in All activity.
How Do I Track Suggestions In All Activity?
Every suggestion is recorded in the All activity section at the bottom of the Post Detail, for example, "Wilson Brooks created a post suggestion" or "Sankalp Khanna rejected a post suggestion." Click Show difference next to any entry to see what changed.
How Do I Get Notified About Suggestions?
Approvers, creators, and admins can each choose how they get suggestion alerts.
Click the profile avatar at the bottom left and select Your Account.
Select Notification settings.
Under Publishing, find Post Suggestion and select Email, Desktop, or Mobile.
Click Save.
