Rejection Reasons

Registering commonly used rejection reasons in Statusbrew helps make your approval process smooth and transparent. By setting up predefined reasons for rejecting submissions, you give your team a consistent way to communicate what needs to be fixed — preventing mistakes and improving overall content quality. An approver can quickly select a rejection reason while rejecting a post awaiting approval.

A smooth rejection process not only stops problematic posts from being published but also provides content creators with actionable feedback. This ensures your team produces accurate, on-brand posts and strengthens collaboration between content creators and approvers.

Primary Owners, Owners, and Admins can set up Rejection Reasons. Any user with Full publishing access can use Rejection Reasons to reject the post.

Why Use Rejection Reasons?

When your team uses saved rejection reasons:

  • Feedback is faster: Approvers don’t have to rewrite the same explanations each time — they can pick a reason and add extra context if needed.

  • Approval workflows run smoothly: Predefined reasons keep feedback professional and consistent, even as teams grow and new content creators or approvers join.

  • Maintain consistency across teams: With standardized feedback, posts are reviewed against the same quality bar, ensuring alignment across different approvers and departments within your organization.

  • Improve collaboration: Structured feedback reduces back-and-forth communication and builds a smoother, more transparent collaboration process between content creators and approvers.

How To Create & Manage Rejection Reasons?

Go to Settings > Rejection reasons. In the Rejection reason window, you will find all the reasons created by you and other users of your workspace.

You can also use the search bar to find the appropriate reason.

Select Add rejection reason and add your Rejection reason (It should have 2 characters or more). Click Add.

If you want to delete a reason, click (More) beside the reason and select Remove. This action cannot be undone.

The Rejection reason window can also be accessed from the Reject Post dialog box, which opens when a post is rejected to select a reason, by clicking Manage rejection reasons in the same dialog box.

Your Statusbrew account will already have some predefined rejection reasons.

Examples Of Common Rejection Reasons

  • Not following the brand guidelines.

  • Spelling, grammar, punctuation, or formatting issues (Double spaces, erratic capitalization)

  • Language is too complex, vague, or difficult to understand

  • Media issues (Low-resolution or misaligned images, Wrong format or ratio, Incorrect or inappropriate media)

  • Posting schedule concerns (timeslot conflicts with other posts, scheduled during low-performing hours, not optimal)

  • Profile or tagging errors (incorrect handle or misspelled username: “@Gooogle instead of @Google, tagging the wrong collaborator, or not tagging required collaborators)

  • Missing or broken links (no URL in CTA, incorrect UTM parameters, or incomplete tracking links).

  • Words related to sensitive topics that could damage your brand reputation (for example, political terms, adult language, profanity, discriminatory terms, or competitor names)

  • Phrases that violate industry or legal requirements.

  • Placeholders like “Lorem Ipsum,” “Draft Copy,” “TBD,” or “Insert Link Here” that indicate incomplete content.

How To Reject A Post With A Rejection Reason?

  1. Go to Planner and select the post awaiting approval. The post will open in Post Detail.

  2. Select Reject.

  3. The Reject Post dialog box will open, where you can select a Rejection reason and add any additional comments. You can manage these reasons by clicking Manage rejection reasons in the same dialog box.

When a post is rejected with a reason and/or any additional comments, the author can see the approver’s rejection reason and notes in the All activity section of the Post Detail. The author can then edit the post and resend it for approval, or choose to delete it if it’s no longer needed.

Auto Reject A Post With Rejection Reason

You can automate post-rejections with reasons using Publish Rules.

When a post violates a rule, Statusbrew will automatically reject it and apply your selected rejection reason, so the content creator knows exactly why the post did not pass.

  1. Navigate to Publish

  2. Go to Publish Rule from the sidebar and select Add new rule.

  3. Name the rule (e.g., "Reject Sensitive Topic Post").

  4. Select the Data sources (Profile or Profile groups).

  5. Choose Trigger types (e.g., Post created).

  6. Add Filters:

    • Add condition > Message Content > In(=) > Add keywords like religion, political

  7. Add Actions

    1. Add a new action > Reject the post > Select Sensitive Topic as the rejection reason.

  8. Click Submit to save and activate the rule.
