Shared Links For Reports

Statusbrew makes it easy to share reports. Let's explore all the options we have.

You can create report dashboards that can be shared with your team members, clients & stakeholders in or outside your organization (no signup required) using Shared Links.

A Shared Link provide live reporting dashboard(s) to external users, the same view visible to you in Statusbrew but in view-only mode. This allows you to get instant feedback from your clients & stakeholders. We have also ensured that your data remains secure, allowing you to set an expiry date on the link.

Getting Started

  • External Links allow you create a shareable public link for any reporting dashboard you have access to.

  • You can give it a title, add a description & set the time period for how long the link should be accessible.

  • More than one link can be created for a single reporting dashboard, each with its unique title, description & expiration date.

  • Any change you make in the dashboard will reflect in its shared version upon page refresh.

  1. Goto Reports & open the dashboard you want to share.

  2. Click Share button in the top right section.

  3. Click Create new link button in the Shared Link dialog.

And just like that, you've created a Public Shared Link. Link's title & description by default is fetched from report's title & description.

External users will not be able to change the data source, add/remove widgets, change the layout, etc.

  1. Goto the desired report & click Share button in the top right section.

  2. Click icon.

That's all! You can create & share as many shared links for any report.

Don't forget to give them a unique title & description to avoid confusion!

There are various options providing more control over how you share your report.

This is the page where you'll find options to configure your Shared Link:

  1. Goto the reporting dashboard with the associated shared link.

  2. Click Share button in the top right section to open Shared Link menu.

  3. Hover over the link you want to edit.

  4. Click on Three dot menu.

  5. Click on Edit button.

You can now get started with updating your link.

Setting Expiry

This is the first thing we suggest to do:

  1. Open Edit shared link page (see how to).

  2. Navigate to Link expiry option at the bottom & click toggle button.

  3. Select a date from Link expires on input.

You can create a shared link without setting an expiration date, but we always recommend setting an expiration date for your shared link for the safety of your data.

After the link expires, the report won't be accessible through the shared link but will remain accessible to you or your team members who have the access to it.

Change Title & Description

For starters, you can change the title and description for external viewers:

  1. Open Edit shared link page (see how to).

  2. Change text in Link title input to change the title

  3. Change text in Link description input to change the description.

Different title for different clients & users, you control what to show.

Set Date Range

Choose how much data to display:

  1. Open Edit shared link page (see how to).

  2. Navigate to Date range options.

  3. Either select a range from Calendar date range picker by choosing Select from calendar.

  4. Or click Select from range and select from standard options using the dropdown.

That’s the basics, but there’s even more you can do!

Set Time Zone

By default, the time zone follows your user preferences in Your Account in Statusbrew, which may cause confusion when working with clients in different time zones.

  1. Open Edit shared link page (see how to).

  2. Navigate to Date range options.

  3. Choose the user's time zone using Time zone dropdown.

This fixes it!

Lock Date Range

By default, users can change the date range in the external view to access data for any time period. However, you can restrict this behavior.

  1. Open Edit shared link page (see how to).

  2. Navigate to Date range options.

  3. Check Lock date range option.

Remember, users can still select a specific date or date range within the limits of the date range you’ve set.

Compare Period

By default comparison stats for the selected date range are displayed to external users, but you can choose to hide it if needed.

  1. Open Edit shared link page (see how to).

  2. Navigate to Date range options.

  3. Check Compare period option.

If the date range is not locked, users can choose to show or hide the comparison stats as needed.

Change Privacy

By default, the link is publicly accessible. To change this:

  1. Open Edit shared link page (see how to).

  2. Navigate to Link privacy options.

  3. Select Invite only option from the dropdown to restrict access to specific people.

  4. Or keep it public so anyone with the link can view.

If you choose the Invite Only option, even you won’t be able to access the dashboard until you add yourself. Read further to learn how to add recipients.

Add Recipients

Easily share the report without switching tabs by adding user emails.

  1. Open Edit shared link page (see how to).

  2. Navigate to Recipients options.

  3. Enter the email addresses of users in the Email Addresses input as comma-separated values.

  4. Optionally, add a message in the Message input to be sent with the link.

  5. Click Send invites button

This will send emails to the specified addresses. If the link is set to Invite Only, the users will gain access to view it.

Revoke Access

Instantly remove access for any recipient.

  1. Open Edit shared link page (see how to).

  2. Navigate to Recipients options.

  3. Locate the user whose access you want to revoke.

  4. Click the Revoke button next to their email.

Once revoked, the user will no longer be able to view the report from the link sent over E-mail.

Resend Email

Send the invite again to ensure recipients receive it.

  1. Open Edit shared link page (see how to).

  2. Navigate to Recipients options.

  3. Find the user who needs the email resent.

  4. Click the Resend button next to their email.

This helps in case the original email was missed or lost.

Points to Remember

  1. Live Data Updates – Any changes made to the original dashboard will reflect in the shared version upon page refresh.

  2. Expiration Date – Setting an expiry date enhances security and prevents unintended access. After expiration, the link becomes inaccessible, but the report remains available to authorized users.

  3. External View Limitations – External users can only view the dashboard; they cannot edit, add, remove widgets, or change the layout.

  4. Configuration Updates – Any changes made in the Edit Shared Link page require external users to refresh the page for updates to take effect.

  5. Seamless Sharing – Easily share reports with team members, clients, and stakeholders without requiring them to sign up.
