Custom Post Variables

Custom Post Variables let you write one post for many profiles and have Statusbrew fill in each profile's own link, address, phone number or other details when the post publishes.

What Are Custom Post Variables?

A custom post variable is a placeholder, like {{website_url}}, that you add to a post. You give each profile its own value for that variable. When the post goes out, Statusbrew replaces the placeholder with the value for the profile it is publishing to.

They save time, cut copy-paste mistakes and keep posts consistent. They're most useful when you:

  • Manage several locations, stores or brands

  • Share the same creative across profiles but with different links or contact details

  • Want to personalize posts at scale without writing a separate post per profile

Who Can Create And Use Custom Post Variables?

Custom post variables are available on Premium plans and above.

Owners and admins can create, edit and delete variables and change their values, including in bulk with Download CSV and Upload CSV. See access permissions.

Variables belong to a space, not your whole organization. Anyone who can create posts in Compose in that space can insert them into a post.

Types Of Variables

  • Text: Anything that isn't a link, like a store name, address, email, phone number or CTA label.

  • URL: Links, like website URLs, menu pages, booking links, promo URLs or UTM-tracked links.

How Do I Create A Custom Post Variable?

  1. Go to Settings → Custom Post Variables.

  2. Click Add custom variable.

  3. Choose the Variable type: Text or URL.

  4. Enter a Variable name under 32 characters, for example website_url, cta or support_email.

  5. Click Save.

The new variable appears as a column on the Custom Post Variables page.

How Do I Assign Values To Each Profile?

The Custom Post Variables page lists every connected social profile, with a field for each variable.

  1. Click the field for the profile and variable you want to fill.

  2. Type the value, for example a location-specific link, email or phone number.

  3. Press Tab or click anywhere else on the page. The value saves automatically.

From now on, every post that uses this variable gets that profile's value.

How Do I Update Variable Values In Bulk With A CSV?

If you manage many profiles, you don't have to fill in values one field at a time. Download every profile's values as a CSV, edit them in a spreadsheet such as Excel or Google Sheets, then upload the file to apply the changes.

  1. Go to Settings → Custom post variables.

  2. Click Download CSV at the top right of the table, next to Upload CSV and Add custom variable.

  3. Edit the values in your spreadsheet. Change only the variable values. Leave the header row and the profile details as they are.

  4. Save the file as a CSV.

  5. Click Upload CSV and choose the file, then click Review changes. A preview opens. Nothing is saved yet.

  6. Check the preview, then click Save N changes, where N is the number of changes in your file.

Upload CSV edits values that already exist. It cannot create new variables or add profiles. To add a variable, use Add custom variable first, then download a fresh CSV. Profiles and variables that are not in your file stay as they are.

The file has one row for each profile and one column for each custom variable. A profile with no value for a variable has an empty cell.

What The Upload Preview Shows

Before anything saves, the preview lists the profiles whose values change, with a column for each variable. The counts at the top tell you what the file will do:

  • Added (green): a value the profile didn't have before.

  • Changed (blue): a value that replaces the current one.

  • Cleared (orange): a value that will be removed. A blank cell in your file clears that profile's value.

  • No highlight: unchanged.

Click Save N changes to apply them, Choose another file to pick a different CSV, or Cancel to close without saving. Posts that already published keep the values they went out with.

If the preview says The file matches the current values, so there is nothing to save., the file has the same values as the page and Save changes stays greyed out. Edit at least one value in the CSV, save it, and upload it again.

What If The Upload Shows An Error?

If something in the file does not fit, the preview is replaced by a message such as Your file has 1 problem. It lists the row and column and what is wrong. Nothing is saved. Fix the file in your spreadsheet and click Choose another file.

How Do I Add A Variable To A Post?

  1. Go to Compose and select one or more profiles.

  2. Write your post and insert a variable in one of two ways:

    • Variable button: Click (Add a custom post variable) below the caption box and pick a variable from the list.

    • Typing: Type {{ in the caption box. Matching variables appear as you type. Select the one you want.

  3. Pick your date and time option and click Post now or Schedule. See how to schedule posts.

When the post publishes, Statusbrew replaces the variable with each profile's value.

Need a variable that doesn't exist yet? Click Manage in the variable list while composing. It takes you straight to the Custom Post Variables settings page.

How Do I Preview A Post With Variables?

Open the post preview in Compose to see each profile's version with its values filled in. After scheduling, use Show preview on the post in the Publish calendar.

How Do I Delete A Custom Post Variable?

  1. Go to Settings → Custom Post Variables.

  2. Hover over the column header of the variable.

  3. Click Delete and confirm.

Deleting a variable can't be undone. Posts that already published aren't affected.

A clinic group with several branches can keep shared and branch-specific details in variables and reuse one post for every branch.

  • Variable name: clinic_name; What it's for: Clinic name; Example value: SmileLux Specialist Clinic

  • Variable name: city; What it's for: City or area; Example value: Chiyoda

  • Variable name: phone_number; What it's for: Contact number; Example value: 03-1234-5678

  • Variable name: weekday_hours; What it's for: Weekday timings; Example value: 9:00 AM to 6:00 PM

  • Variable name: weekend_hours; What it's for: Weekend timings; Example value: 10:00 AM to 5:00 PM

FAQs

What Happens If I Don't Assign A Value For A Profile?

The published post shows a blank space where the variable was. Check the post preview before you schedule.

Can I Edit A Variable Name After Creating It?

No. Variable names can't be edited. Delete the variable and create a new one with the name you want, then add it back to your posts.

Can I Use The Same Variable Across Multiple Profiles?

Yes. Each variable holds a separate value for every connected profile.

Can I Update Variable Values For Many Profiles At Once?

Yes. Click Download CSV in Settings → Custom post variables, edit the values in a spreadsheet and add the file back with Upload CSV. Owners and admins can do this.

Does An Empty Cell In The CSV Clear The Value?

Yes. A blank cell removes that profile's value for that variable, and the preview counts it under Cleared. Leave the cell as it was if you want to keep the value.

Why Does Upload CSV Show An Error Instead Of A Preview?

Upload CSV only edits existing values. It shows an error, and saves nothing, if the file has a column that is not one of your variables, or a profile that does not match one in the space. Remove the extra column or fix the profile details, then choose the file again.

Why Does Upload CSV Say There Is Nothing To Save?

The file you uploaded has exactly the same values as the page, usually because it was downloaded and uploaded again without edits, or the edits weren't saved to the CSV. Edit the values, save the file as a CSV and click Choose another file.

Does Deleting A Variable Change Posts That Already Published?

No. Published posts keep the values they went out with.

Who Can Use Variables In Posts?

Anyone who can create posts in Compose can insert existing variables. Creating, editing and deleting variables needs the Owner or Admin role.
